Trade & Market Stalls – Site Holder Booking Contract and Conditions of Hire

1. Booking and Payment

  • Site bookings must be received and paid in full before 1 October.

  • No site booking is confirmed unless full payment is received with a completed booking submission and/or written confirmation is provided by the Narrogin Agricultural Society.

  • Once confirmed, stallholders will be advised which gate/entrance to use for bump-in and bump-out.

2. Power and Electrical Safety

  • Stallholders must supply their own power lead(s) (up to 30 metres).

  • All power adaptors must have earth leakage / core balance protection.

  • All electrical cords, leads, and boards must be tested and tagged by a qualified electrician within the last 12 months.

  • Power will not be supplied prior to Saturday (unless approved) or after the Show concludes.

3. Insurance

  • Public Liability, product liability, and worker’s compensation insurance (as applicable) is the responsibility of the stallholder.

  • A Certificate of Currency for Public Liability Insurance is required for all stallholders.

4. Cancellations and Refunds

  • No refunds will be issued for cancellations after 1 October.

  • Failure to attend the Show will be considered a breach of contract and site fees will not be refunded.

5. Safety, Security and Conduct

  • Stallholders must comply with all directions relating to safety and risk management.

  • Stallholders may not pack down, commence breakdown, or move vehicles before 5.00pm Saturday.

  • The Society does not accept responsibility for loss, theft, damage, or security of exhibits/products during set-up, display or pack-up.

  • The Society is not responsible for any loss of perishables due to equipment or power failure.

6. Prohibited Items and Activities

  • Fireworks, sparklers or similar dangerous articles are strictly prohibited.

  • Prizes of knives, swords, lasers, or weapons of any kind must not be sold or given away.

  • BYO alcohol is strictly prohibited. Alcohol is available to purchase through on-site facilities.

  • Stallholders may not sell raffle tickets anywhere on the showgrounds without prior approval.

7. Set-up and Pack-down Times

  • Set-up is permitted from 9.00am Friday or 6.00am–9.00am Saturday (Outdoor sites until 8.30am Saturday).

  • All unnecessary vehicles and equipment must be moved to designated parking areas before 9.00am Saturday.

  • Outdoor sites must be cleared after the Show, including removal of all materials (wire, nuts, bolts, zip ties, cardboard, etc.).

8. Security

  • On-ground security is in place from 12.00pm Saturday until late.

9. Camping and Animals

  • If camping overnight, the site must be vacated and cleaned by 12.00pm Sunday.

  • Unauthorised animals are not permitted without written consent from the Society.

10. Environmental Health Compliance

  • Site holder stalls may be inspected by the Environmental Health Officer in accordance with the Public Health Regulations 2017.


Additional Conditions – Indoor Sites

  • Bump-in from 9.00am Friday or 6.00am–8.45am Saturday.

  • Power is available only to allocated sites as per layout plan.

  • The Narrogin Leisure Centre is a smoke-free facility.

  • Gazebos may be used inside but must be weighted.

  • Rubber pads or carpet squares must be used under any item likely to damage flooring.

  • No adhesive tape may be used on the stadium floor.

  • Any damage must be reported immediately.

  • No water or hay bales are permitted in displays.

Additional Conditions – Outdoor Sites

  • Bump-in from 9.00am Friday or 6.00am–8.30am Saturday.

  • Power will only be available to approved Food Vendors.

  • Machinery must be operated with extreme care to prevent damage to the oval surface.

  • Sprinklers will be marked—no vehicles may drive or park on these areas.

  • No pegs are to be driven into the grounds within one metre of sprinkler markings.

  • Please note: Telstra service only is available in Narrogin for card readers.
